Managing Comments to Agent

Objective

After completing this lesson, you will be able to customize Comments to Agent options on the Travel Configuration Page.

Introduction to the Comments to Agent Settings

The Comments to Agent feature allows the traveler to enter information for the Travel Agent when booking a trip in Concur Travel. Because bookings with a comment must be handled by an agent, most TMCs charge a higher transaction fee for comments to agent in the PNR.

There are two settings on the travel configuration page that apply to the Comments to Agent feature:

  1. Show the Comments to Agent text box
  2. Comments-to-Agent Warning

You can find both settings easily on the travel configuration page using the CTRL+F option on your keyboard to search as depicted in the following graphic.

If the Show the Comments to Agent text box is enabled, the traveler will see a text box on theTrip Booking Information page allowing them to add a comment to the agent at the end of the booking process.

If the Comments-to-Agent Warning setting is enabled, the user will see a warning informing them about the higher service fee costs.

You can set the message as default or customize it by unselecting Use Default, selecting the language from the dropdown menu, and entering the new message in the text box.

Summary

Comments to Agent allows travelers add information for agents during booking. These bookings require agent handling and often incur higher costs. Administrators can enable the text box and the warning, and customize the warning message.
