Payroll Process by Using Payroll Control Record with Error-Free Master Data

Now, let's take a closer look at Lesson Two and use the payroll control record to run a payroll process. Maybe you can remember that the payroll process is always in combination with steps to take. First step to take is always to release payroll. Therefore, you can use the payroll control record by using the transaction code PA03. This will call the payroll control record that you can see down here. Where you can now set the status of the payroll to release for payroll. You can see here that we talk about the payroll area and the status about the payroll period. And, we have up above, some button that should be now interesting for you to list the personnel numbers and also to take a look on the locked personnel numbers. Let's go and use transaction PA03. If we use this transaction, I will have a closer look at the payroll control record. So, I click on change here and as you can see now, I will click on release for payroll. And, I will save this. What is happening behind the scenes is that this payroll area, for example, X1, is now released for payroll, It means I have a payroll status like release payroll where I can also take a look and if I use the transactions. Next thing is that we can see here in the payroll control record, the payroll period. This period is now counted +1. The run is set to 1 to count the payroll runs. I can click here to have a list of personal numbers that are in that payroll area. So I click here, I can see here that this personal number is contained in this payroll area. Where I could also see, is that, if I would have had locked personnel numbers, I could find them here. In that moment, I do not have any locked personnel numbers. Please find out that you cannot start your payroll process by using the payroll control record. That's not possible. To start payroll, I always have to start it with a transaction code. To take a look at this transaction code and to use it, I'll go back to the easy access menu. Use human resources, payroll, international, payroll; and in here, I have the transaction start payroll, which I will click now, to do the second step in the payroll process and to start my payroll. What is shown now here is the payroll driver with the payroll area, the current period. I will check the box to display the log, by following the payroll schema X000. So I will execute that. And now can check the display off my log again. For I can see here in the statistics that there are no rejected payroll numbers, personnel numbers. Just to make sure that I did not have any issues in my payroll process. As soon as I find out that my payroll process run properly, I can now exit payroll. I can execute by using the payroll control record again. Therefore, I'm moving back to the easy access menu again, and choose transaction PA03. I'll make sure to be in the right payroll area and click on Change. Right now, I can exit payroll. Before I do so, let me give you some hints on what is happening behind the scenes. So, after I've used the transaction PA03 and use my payroll control record and click on Exit payroll, the following will happen. The payroll period remains the same, but the run will be reset to 0. Of course, also my master data will get unlocked. And, if I want to see when my payroll period will change, I will need to know that if I click for the next time on release for payroll, also my payroll period will be counted plus one. So, I click on exit payroll. You can see here now, that the run is set to 0. The payroll period remains the same for this will now change, as soon as I click on release for payroll for one to start the next payroll run. And, I will save this. We have a summary here for you, to keep in mind that the payroll process always works in special steps. And if you have error-free master data, you will release payroll, start payroll, run payroll for the payroll results, and see if they are right. If they are right, you can exit payroll to do subsequent activities. For example, the payment.
