Configuring Personal Car Mileage

Basics of Personal Car Mileage

When your company starts using Expense, the default rate is the automatic or current IRS (Internal Revenue Service) rate for the United States. If you are using this rate for mileage reimbursement, no action is required as it's already set as the default.

How to Update a Personal Car Mileage

If you decide to use a different rate than the default provided by the IRS, follow these steps to update a personal car rate. We walk you through each part of the process, complete with detailed instructions and screenshots to help you along the way.

Steps

  1. Select Custom Rates under the Rates field menu.

    A pop-up message appears. The image shows a Mileage Configuration screen for setting mileage rates.   2. You must confirm that you want to turn off the automatic rate updates for the country/region. You confirm this by selecting OK. Your company will no longer receive automatic mileage rate updates for that country/region.

  3. Select New.

  4. Select an Effective Date.

  5. Enter a new rate.

  6. Select Save to enable these changes.

    Note

    Each mileage rate includes an Effective Date and an End Date, which show the dates that the rate was and will be effective. Only one rate can be in effect at a time, so when you create a new one, the old one automatically gets an end date one day before the effective date of the new one.

Result

Historical Values of Personal Car Mileage

Selecting this option shows all past values in the system. They are the historic IRS rate changes in the default system for a new customer.

Select the checkbox Show Historic Rates to review these values.

Allow the Map Integration Setting

SAP Concur offers integration with Google Maps to make calculating mileage easy. When completing an expense report that includes personal car mileage, a Mileage Calculator is available to input the trip details and determine the mileage.

By default, the Allow Maps Integration setting is set to Yes. You turn off the setting or require the mileage calculator. If the mileage calculator is required, it automatically opens when the user selects the mileage expense type.
