Creation of Communication Rooms

Communication is the key to the success of any team – especially in sports, where timing and coordination are crucial. A structured and well-organized communication strategy is essential. With SAP Sports One, you can configure specific communication rooms for various groups, such as coaches, players, and medical staff, ensuring that the right information reaches the right people. Efficient communication significantly contributes to team success and enhances collaboration at all levels. The following will explore how to effectively create and manage communication rooms in SAP Sports One.

Note

To be able to create and manage communication rooms in SAP Sports One you need to have for example the role of administrator or team manager and the corresponding permissions for Persons/Teams. An overview of all SAP Sports One user roles and the corresponding permissions is available on the SAP Help Portal (User Roles | SAP Help Portal).

In regards of season change, you can also update existing communication rooms in the admin section of SAP Sports One. The detailed process for this will be explained in more detail in the unit Planning Season Change.

You can create team-dependent communication rooms in your team’s profile. Navigate to General Information at Communication.

From here, select Generate Rooms to automatically create an initial set of rooms and specify the relevant permissions for these rooms. The default rooms include:

  • A team room (staff + players)
  • A staff lounge
  • A player lounge

Additionally, you have the option to create further rooms, such as:

  • Medical and coaching rooms
  • Player position rooms
  • Player feedback rooms

These rooms are essential for promoting effective communication and collaboration within the team, ensuring that all members stay well-connected.

The creator of a communication room automatically holds full admin rights (manage). However, it's crucial to assign additional permissions to these rooms. For instance, you can grant access to a person group, as introduced in the unit Person Groups. This ensures that all members of the group have access rights to the room, which is essential. Additionally, individual users can also be granted access. These permissions can be modified at any time later.

To create a room manually, choose +Add Room for Team. You can choose between a Group Room, where you can add specific staff members and players, or a Player Feedback Room, where you select the player, and the system automatically includes the relevant staff members. You can still adjust the assigned persons if needed.

When setting up communication rooms, you can define the room's validity by specifying start and end dates. Another key feature is the ability to hide chat history. When this option is enabled, new members joining the group chat cannot view previous messages. This feature helps protect privacy and ensures that prior conversations remain confidential.

Additionally, enabling the Prevent Media from Being Shared Externally option is essential for security and data protection. This setting restricts the sharing of media files outside the group, safeguarding sensitive information.

Please note that the permissions for the communication rooms can be adjusted at any time.

Team-Independent Rooms

It is not only possible to generate a team-dependent room, but you can also create rooms which are team-independent. To create team-independent rooms, go to ClubGeneral InfoCommunication and select +Add Team-Independent Room. To create a room used for team activities, choose +Add Room for Activity.

Team-Independent Rooms are, for example, used to facilitate communication between youth players from different teams. This is especially useful when a talent training session is planned, bringing together the best players from multiple youth teams for joint practice. For activities that are scheduled just once or only a few times, you also have the option to create a Room for Activities.

To copy a room, hover your cursor over an existing communication room and select the Copy Room icon. You can enter a new name, as well as start and end dates for the copied room. Additionally, you can specify whether to copy the permissions from the original room and whether to close the original room. The system automatically copies all current participants from the original room to the new room.

Manage Communication Room Memberships

When preparing a new season, managing the memberships in communication rooms in SAP Sports One is crucial for effective collaboration and information flow within the team. When new players join and staff members change, it is important to add these persons to the relevant communication rooms and update room memberships accordingly.

For example, it may also happen that a U17 player, due to their talent, is also part of the U19 team and should therefore be added to the corresponding communication rooms for both teams. Such various scenarios are an essential part of managing communication rooms and must be considered during the season preparation.

By carefully planning and organizing communication room memberships, a comprehensive communication structure can be established that promotes a cohesive environment and ensures that all team members are informed and engaged. This is vital for strengthening team spirit and ensuring smooth collaboration throughout the entire season.

If you have the necessary permissions, you can manage communication room memberships in the team section. Simply click on General Information and navigate to Communication. From there, you can either select a team from the list or search for a specific room where you'd like to make changes. Next, select the room where you'd like to make changes. You can adjust permissions and add or remove members from the room as needed.

This approach to managing communication room memberships is especially helpful during season, as it allows for small adjustments to be made easily. When transitioning between seasons, however, larger changes may be necessary. To accommodate this, the option to manage communication room memberships is available in the admin area. This topic will be covered in detail in the unit Planning Season Change.

Communication Room Maintenance on Player Profile

You can manage a player's communication room memberships directly from their profile. Simply search for the player using the search bar, then go to the Communication section. Under Maintain Room Assignments, you can add the player to different rooms and specify the membership duration. If necessary, you also have the option to end the player's membership in specific rooms.
