Initiating Notes and Attachments for Persons

Objectives

After completing this lesson, you will be able to:
  • Create note categories in the admin section and create notes for a person
  • Explain how to create a reminder story for person notes
  • Manage attachments for each person individually

Creation of Note Categories and Notes

In addition to documenting a player's master data, you can also add notes that can be applied across various areas. These might include medical notes, contact information, youth player development discussions, and more. These notes can also serve as reminders, such as when we need to follow up with the player or their agency on e.g., contract topics.

Before adding player notes, it's important to create note categories. To do this, go to the Settings section at Admin. Then, click on Categories and select Note Categories. Here, you can create and organize note categories that will later be available when creating player notes in the player's profile.

As a best practice, we suggest the following configurations for note categories in SAP Sports One.

Once you've created note categories, you can return to the player's profile. At Notes, you'll have the option to create new notes for the player. Simply click Add Note, then enter a note title, assign a note category, select a reference date for the note, and provide a detailed note description.

Once the note is saved, you can view who created it and when. You'll also see the reference date and the note's category. Additionally, the update date, reference date, and category can be used as filters at the top of the notes page.

You can upload attachments to a note by clicking on the paperclip icon. This will take you to the attachment interface, where you can easily add new media.

By hovering over the note, you can edit or delete it. Additionally, you have the option to manage the permissions for each note, which is especially important. This allows you to control who has access to each note individually. You can assign permissions by selecting a person or a person group. Please note, you will only be able to see notes for which you have the appropriate permissions.

Analysis of Note Reminders

In SAP Sports One, we can document both a reference date and a note type, enabling targeted analysis. One example is the Note Reminder Analysis, which allows us to display all notes of a specific note category e.g., Reminder / Deadline based on the reference date.

In the example analysis below, all notes for our internal players are listed whose documented reference date has either passed or is approaching. This helps us quickly identify players who require immediate attention and provides a comprehensive overview of the entire club. However, additional analysis related to player notes in SAP Sports One are also possible.

Manage Attachments for Persons

Like how player notes work, attachments can also be added to players and staff members. There is a dedicated section for this in the player overview. Simply click on Attachments and add files, links, info packages or even entire folders to the player attachments.
