Introducing Duplicate Management

Objectives

After completing this lesson, you will be able to:
  • Explain the importance of duplicate management for team management and why it needs to be done at all
  • Manage duplicates in the admin section or directly on player profile

Introduction Duplicate Management

When manually uploading data into SAP Sports One, duplicates may occasionally be created. A common cause for this is that the data has already been imported via the external data provider Heimspiel. This can lead to duplicate records in SAP Sports One. Additionally, another reason could be that Heimspiel has expanded the data feed, resulting in more duplicates being added to the system. For this reason, the process of Duplicate Management is also considered a regular task after the season change. Duplicate records can arise from both teams and persons

Note

In the Admin Settings under Provider Configurations, you can select whether you would like Heimspiel to automatically update the team memberships for persons in your club.

As a team manager you are familiar with your teams, the players and staff members in your teams, and with managing the data in the system. If you notice a duplicate team record or personal record, you can identify the original and duplicate records, validate both, and map them as duplicates. Furthermore, SAP Sports One automatically detects such duplicates and consolidates them into a list.

The following section will guide you on how to efficiently manage these duplicates. You will receive detailed instructions on how to identify duplicates, merge them, or safely delete unnecessary and redundant records. These features help ensure that your data remains clean and accurate, which is essential for the smooth operation of the system.

Identifying Data Duplicates and Request

Note

To identify the original and the duplicate records and to map them as duplicates you need for example the role of the administrator or team manager and the corresponding permissions at Persons/Teams. An overview of all SAP Sports One user roles and permissions is available on the SAP Help Portal (User Roles | SAP Help Portal).

To identify the data duplicates for teams, players and staff members, please navigate to the respective overview page and select Manage Duplicate. The Map Duplicate dialog will then appear. In the Original tab, you can view the selected key data for the team or person. In the Duplicate tab, you search for the corresponding duplicate record of the team or person. You then validate the data from both records. You have the option to view club statistics to check the history of team assignments or match statistics to see the number of matches played in different competitions. Once the original record is identified, you select Accept. If necessary, you can swap the roles of the original record and the duplicate.

Please note that the step of mapping duplicates is done by the administrator or by the team manager.

After completing this process, the duplicate mapping is requested, and the administrator can confirm. How the conformation works, will be addressed in the next lesson.

Merging Data Duplicates and Accept

Note

To be able to merge original and duplicate data records you need the role of system administrator and the corresponding permissions. An overview of all SAP Sports One user roles and permissions is available on theSAP Help Portal (User Roles | SAP Help Portal).

To manage duplicates, navigate to Duplicate Management in the Admin section and select the duplicate type (teams or persons) from the list. A list of identified original and duplicate records will then be displayed. For a selected record pair, you have several options:

  • swap the original and duplicate record.
  • merge the original with the duplicate, where all details from the duplicate are transferred to the original and the duplicate is deleted.
  • reject the pair, making the duplicate record available again.

Please note that the step of merging a duplicate with an original record is irreversible!

Note

A duplicate with a valid user-ID cannot be merged.

Note

When you merge an original team and a duplicate team, you can migrate data, for example, matches, players assigned to the teams, pictures, files, and many more from the duplicate team to the original team.

In the Proposed Duplicates tab, a list of identified pairs is shown. Once a pair is accepted, it appears in the Duplicates tab. In the Rejected Duplicates section, you can view a list of all the rejected pairs.
