Creating and Maintaining User Profiles with the On-Demand Import

Objective

After completing this lesson, you will be able to configure and manage a production user profile with imports.

On-Demand Import File Overview

Users with the Employee Administrator role can access the on-demand import file. This file lets you upload users in bulk using the employee template found under the Import Users link in the User Administrator section.

You can download a new copy of the file or maintain an existing file. Each upload will update the user profiles listed on the import template you uploaded. The file reflects all products purchased and can be updated by administrators with unrestricted access. All blue columns in the file are required.

The image displays a blank spreadsheet template for employee data. The top row shows field names, and the second row shows labels in blue. Columns include: Custom21Code – Employee Group; Custom22Code – Invoice Group; FirstName – Employee First Name; MiddleName – Middle Name; LastName – Employee Last Name; NickName – Preferred Name; and a partially visible column that begins with “Emplo.” All other cells are empty.

Import User Profiles with the On-Demand Import File

To import user profiles with the on-demand import template:

Steps

  1. SelectUser Administration and click the Import Users link.

The image displays a User Administration web page for the company Learning Services-Training182. Filters show options for manager, employee group access, and expense test users. User status is Active and max results is 25. The Search Text field contains “Pilot,” and “Search What” is set to Name, Email, Log-in. Selected columns to display are Login ID, Manager, Employee Group Configuration, Email, and Employee ID. Search and Reset buttons appear above an A–Z index. The Users section is empty and prompts the user to start a search.
  2. Select the User Import Information link to download the template.

The image displays a “User Import” page with tabs for Upload File and Review Import Results. The text explains that you can import new users and update existing users using a Microsoft Excel template. A highlighted link reads “User Import Information,” followed by links for Credit Card Information and Bank Account Information. The steps direct you to download the template, save it, open it in Microsoft Excel, and format all cells as text. At the bottom, a Choose File control shows “No file chosen” and a blue button labeled “Upload Your Data.”
  3. Populate the template with all required fields and save the file to your device.

  4. At the bottom of the User Import page, select Choose File, and then select Upload Your Data.

The image displays a “User Import” page with tabs for Upload File and Review Import Results. The page explains importing new users and updating existing users using a Microsoft Excel template. It lists steps and links for User Import Information, Credit Card Information, and Bank Account Information. A magenta box highlights the bottom controls: a Choose File field showing “No file chosen” and a blue “Upload Your Data” button.
  5. The system will review the file for missing data and unrecognizable characters, so it’s best practice to select the Review Import Results tab. The tab lets you review imports from the last 10 days. To review the results, select the Details button.

The image displays a User Import page on the Review Import Results tab. A Previous button sits above a Search section with Type set to Error and a Search button. A results table lists columns for Type, Category, Record, Description, and Action To Take. Three errors appear for records 3, 4, and 5. Each description says the login ID (xxus.user@nhcip.uat, xxda.user@nhcip.uat, xxde.approver@nhcip.uat) is in use by a user from another company. The action advises choosing a different login ID or contacting client support if the issue persists. Additional lines state “RESULT: Failed… Create user failed” for each login.
