Creating Routing Hierarchy Mapping Lists

Objective

After completing this lesson, you will be able to manage the mapping values for the invoices preferred owner.

Invoice Routing Hierarchy Overview

You can use the Routing Configuration feature to automatically assign an Invoice Owner when the AP User selects a value from a simple list field or from a group of connected list fields added to the Request header form. This systematic mapping helps ensure invoices are assigned to the correct Invoice Owner as part of your site’s overall invoice assignment strategy, preventing mistakes and speeding up the process for the AP User. By importing the association between employees and specific hierarchy mappings, you make sure that selecting certain segments (for example, Company > Sales > North) always results in the correct Invoice Owner being chosen.

To access the Routing Configuration tool, go to Administration > Invoice > Routing Configuration.​

Example

As an example, assume a company (Company) with multiple Sales locations (North, South, etc.) decides that every invoice created for the North Sales division should route to Ken. The administrator configures the system so that, when the AP User selects Sales > North, the system defaults the assignment to Ken. If Ken is unavailable (moves on; is promoted) the system will "walk" up the connected list hierarchy to the next assigned user at the Sales level, and so on.

The options on this page let the administrator search for specific hierarchy mappings and display them in rows sorted alphabetically.

Search Route Mappings​

To search route mappings:

Steps

  1. In Routing Configuration, select the Hierarchy Mapping List tab.

    The Routing Configuration page shows the Hierarchy Mapping List tab. Multiple hierarchy paths like Global-United States-Operations and Global-United States-Training are listed. Each path has the same invoice owner, Falkmore, Artemis N. Options to search routing mappings are available.
  2. In the Search Routing Mappings field, select search by Employee Last Name or one of the segments in the hierarchy.

    The Routing Configuration page displays the Hierarchy Mapping List tab. Hierarchy paths are shown with Falkmore, Artemis N. as the invoice owner. A dropdown menu for searching routing mappings is open, offering options to filter by Employee Last Name and various segments.
  3. In the Begins with field, enter the appropriate name.

  4. Select the magnifying glass.
