Utilizing Performance Management Tools

Team Overview

Team Overview is a tool for Managers. It allows managers to get that one-page list of their direct reports and evaluate their performance depending on the status of a performance form. They can also use Team Rater (aka Stack Ranker) to evaluate competencies.

Depending on calibration permissions, a manager can initiate a calibration session from here.

Access to the Team Overview tab is managed with permissions. You can hide this tab for users who do not need it, such as users without direct reports.

Ask for Feedback is one of the tools for the Team Overview feature. It allows managers to provide a more balanced review that considers others' points of view, which is done by soliciting feedback through email.

Users will be able to provide comments only and not ratings. These comments/feedback will be recorded on the Supporting Information pod of the subject’s performance form. With the permissions, it is possible to control who can see the feedback.

Feedback can also be solicited from external users by simply providing the email address and name. This particular feature of the Ask for Feedback tool can be disabled in the settings of a form (advanced or form template settings).

Stack Ranker

If enabled on the performance review form, Stack Ranker (accessed via the Team Rater button) allows managers to rank and view their direct reports’ competency rankings and overall ratings next to each other. Seeing multiple rankings at the same time helps managers quickly identify top performers. Stack Ranker (Team Rater) is only compatible with competencies, not behaviors or goals.

The Stack Ranker tool can be initiated from the Team Overview tab or directly from the competency section of a performance form.

Stack Ranker:

  • Only pulls the direct reports’ competencies in that attribute section of the performance review form.
  • Supports three rating scale styles; the system determines which style to display based on form and rating scale configurations.
  • Supports job-specific and core competencies; it is recommended to use core competencies so that there is an even list of competencies on which all direct reports will be evaluated.
  • Supports route maps with Out of Turn Access set up.

Latest Stack Ranker

The latest version of Stack Ranker supports both competencies and skills. There are two modes in which it can be used with the following benefits:

  • In view mode, managers can easily navigate between different form sections, search and filter on competencies, skills, and ratings, and select specific employees to include in the view.
  • In edit mode, managers can change ratings using a drop-down menu and edit comments.

Check Tool

Check Tool is an administrator tool that provides four validation checks on Performance Form Templates (1 in the System Health section and 3 Validation checks). The checks determine discrepancies (or conflicts) between the permissions configured and other form settings and whether document transfer job requests are blocked to apply a Quick Fix.

Multiple types of permissions on performance forms can be configured, and the Check Tool application can help identify conflicts and offer possible solutions based on best practices.

Delegation

With the Delegation feature, managers in the organization can delegate their performance review tasks to other people within a specified time period. It also allows administrators to create delegations on behalf of managers. This feature helps ensure an uninterrupted and efficient performance review cycle when a user is absent or overloaded with work. This feature can be enabled in Company System and Logo SettingsEnable Delegation Feature.

Additionally, a parameter can be set to determine when a delegation request for Performance Reviews should be automatically canceled if the delegatee does not accept or if they decline the request. You can enter any number larger than 0 for the field Specify a date range for automatic cancellation of a delegation request if no action is taken by the delegatee.

Once permissions are set for users, on the SettingsDelegation page, a user can:

  • Create a delegation request for themselves
  • View and manage the delegations they created and those created by administrators on their behalf
  • Accept or decline the delegation requests they received
  • Go to the delegated task they accepted

Once permissions are set for administrators, on the Admin CenterDelegation Management page, an administrator can:

  • Create a delegation request for another person
  • View and manage the delegations they created on others' behalf

AI-Assisted Writing in Performance Forms

Like Goal Management, it is also possible to use AI-Assisted Writing to enhance the content of the comments provided in Performance Management forms while evaluating the subject.
