Creating a Reason

Objective

After completing this lesson, you will be able to create a Reason data object in SAP Fieldglass.

Reason

Whenever an action is taken on an item within SAP Fieldglass, such as closing a document or rejecting an item submitted for approval, a Reason must be selected.

Reasons are created and maintained to allow companies to provide acceptable justification for taking specific actions on records and documents. They provide consistency in reporting and allow you to analyze data more effectively.

For instance, when closing a cost center, the four options that appear in this list are the options that appear on the dropdown menu of the action.

A Job Posting showing The Close Job Posting modal window. The dropdown menu for the Reason field is displayed. The items appearing the menu correspond the reasons listed on the Reason admin object list page.

Navigating the Reason Admin Object

Configuration section of the Admin Menu, the Reason selection is highlighted.
1To view a list of reasons configured in WorkingNet’s tenant, select Reason from the Configuration section of the admin menu.

Reason List Page

Reason List page highlighting the Module, Type, Name, and Rating columns, as well as the Assignment Complete link for closing a worker.

There are many actions that can require a reason, including inactivating a supplier, rejecting a job seeker, disabling notifications, and closing a cost center, among others. It is the combination of Module and Type that determines what appears in a reason dropdown menu.

2Reasons are associated to each Module of SAP Fieldglass. When creating the Reason, you are first required to select the module that the Reason should be associated with. The selected module drives the actions that are available.
3Type is effectively the reason for the action being taken. The reason Types available in this drop-down menu are driven by the module selected, and can include: Closed, Rejected, and Withdrawn, among others.
4The Name of the reason is the field value that appears in the list of available options for users to select. The name must contain the specific text so the user will know which reason is appropriate for the scenario.
5

Reasons for closing Workers, Job Postings, Statements of Work, and Profile Workers can include a Rating, scaled from Positive, Neutral, and Negative. When a reason includes a rating, that rating is automatically recorded when the reason is selected.

For example, when closing a worker, selecting Medical as the reason automatically includes the neutral rating because neutral is associated with the Medical reason.

The Negative Do Not Rehire rating is available for Workers and Profile Workers. This displays a Do Not Rehire flag in the header section of the worker record.

6To view the details of a reason, select the appropriate link in the Name column.

Reason Details Page

The Assignment Complete Reason Details Page displaying the same information for that reasons as appears on the list page.

A reason data object requires few characteristics, namely the module, type, and name of the reason. If the reason includes a rating, that would be indicated in another row below the name.

Create a Reason

WorkingNet Networking, Inc., is a global manufacturer of data networking equipment. WorkingNet’s Program Office wants to add a reason for rejecting a job posting when a change in a project has occurred and a worker is no longer needed.

As the SAP Fieldglass administrator for WorkingNet, you will create the reason.

Summary

Reasons provide justifications for various actions taken within the system. They are usually required when closing a document or rejecting an item submitted for approval.

Key Points:

  • Purpose of Reasons: Reasons provide acceptable justification for specific actions on records and documents, ensuring consistency in reporting and effective data analysis.
  • Association with Modules: Reasons are linked to specific modules in SAP Fieldglass, with each module driving the available actions and types.
  • Type and Name: The Type specifies the action being taken, and the Name makes the reason clear to users selecting from a list.
  • Ratings on Reasons: Reasons can include ratings (Positive, Neutral, Negative) which are automatically recorded, particularly impactful for actions like closing workers.
