Objective

After completing this lesson, you will be able to explain the purpose of admin objects within the SAP Fieldglass admin menu.

A Tour of the Admin Menu

The Admin Menu presents the tools that are used to create and maintain the structures that allow transactions to occur: an organization’s administrative information, rules, and processes. It facilitates solutions for an organization’s workforce goals and objectives by defining the data objects that affect visibility, user access, and transactional workflows.

To access the Admin Menu, you’ll click on the Admin icon—which looks like a gear—at the bottom of the navigation bar.

Admin Configuration Menu

The Admin Menu is divided into sections. Each section pertains to an area where users with relevant access and permissions can configure and manage various options for the tenant. These options, listed under each section heading, are referred to as Admin Objects.

1The Find feature allows you to search for specific items. For example, Brian can type in "Category" to go directly to that item rather than searching across the entire page.

User

In this section of the Admin menu, you can manage important data about Users, such as contact information, login credentials, and access permissions.

You can further define how you want your users to experience the application by providing structure for their workflows and associations, ensuring that their work management is seamless and efficient.

Generally, User roles are the first thing to be set up when first configuring an SAP Fieldglass tenant.

Supplier

The Supplier section of the Admin menu allows you to establish and manage your supplier relationships.

Your suppliers have SAP Fieldglass accounts where they can manage their company's settings and respond to your requests.

It is in this section that you’d invite and qualify new suppliers to provide Job Seekers or Services to WorkingNet.

Company Structure

The Company Structure section of the Admin menu allows you to define the data elements that form the structure of a company, such as business units, cost centers, and sites.

Company Structure data objects control user visibility and access to system and reporting data and determine workflows for various processes in SAP Fieldglass.

Messaging

The Messaging section of the SAP Fieldglass administrative menu displaying the admin items Email Message Template, Messaging, and System Variables.

The Messaging section in SAP Fieldglass administration is used to manage all aspects of notifications that are generated from the application.

Messaging can include notifications within the application itself, as well as system-generated emails that are triggered based on various actions in the tool.

This allows WorkingNet users to communicate with all users, including other WorkingNet users, Suppliers, and Workers.

Workflow

The Workflow section of the Admin menu allows you to define elements that drive the flow of work for your organization.

This is where you manage the elements designed to ensure work is being processed properly: approvals, thresholds, and Activity items that help drive the day-to-day SAP Fieldglass workflow for WorkingNet.

Financial Data

The Financial Data section allows Admins to manage the finance elements of WorkingNet. It includes core accounting and invoicing information.

For example, expense codes and task codes are used to categorize entries on expense and time sheets, while invoice billing schedules are used to define the window of time in which the Supplier can submit invoices.

Rate Structure

The Rate Structure section in SAP Fieldglass Admin menu is used to create the series of building blocks that are combined to define how workers get paid based on various criteria, such as job function, location, and hours worked.

If WorkingNet has rate agreements based on their differing Suppliers/Vendors and/or Sites for their job positions, this can also be configured as part of the overall Rate Structure.

Worker

Use the Worker section in SAP Fieldglass Admin menu to create, define, and manage information related to workers, such as job posting templates, asset types, and worker qualifications.

Services

The Services section of the Admin menu allows you to define the necessary elements to create and manage Statements of Work (SOWs) for your company.

In the Services administrative section, you can define the structure for the types of services that your company requires.

Some information, such as SOW types and templates, is required to use statements of work.

Additional admin objects are optional and can be set up to support your workflow.

Configuration

The Configuration section allows organizations to enhance many of the application’s features to meet specific business needs.

It’s in this section that you can create and/or edit data objects to convey or capture information that is not part of the standard SAP Fieldglass configuration.

Past Data

The Past Data functionality automatically moves documents that have aged out of general list views and into Past Data list views to declutter general list views and maintain organization.

Report

The Report section provides structure and efficiency tools for analytics.

It allows Admins to complete administrative tasks for reports, such as reviewing the report audit trail and adding, configuring, and/or updating report folders.

The configuration of the objects in the Reports section directly affects what reports can be run from the Analytics menu.

Integration

This section allows you to download data, retrieve upload templates, process uploads, and review upload and download data activity.

System Tools

The System Tools section is used to monitor certain aspects of the application.

System tools can be used to create and edit home page announcements, push time sheets to workers, and view a log of all system-generated notifications, among other things.

Summary
