Creating Candidate Profile

Candidate Profile

The Candidate Profile is the record of the candidate’s data in the searchable candidate database. It is thought of as the candidate’s online resume and may include additional questions and sections outside of the option to upload a resume. Both internal and external candidates have a Candidate Profile; however, not all employees are candidates by default. Depending on your company’s data privacy consent statement settings, the employee may have to opt in to becoming an internal candidate.

Candidate Profile Data

The data from the Candidate Profile can be captured for future use (even if the candidate hasn't applied for a job). Once the candidate applies, the data is appended to the Application. Recruiting users can search candidate profile records to locate potential matches for job requisitions. If a good match is found, the candidate profile record may be forwarded to one or more applicable job requisitions.

Collect all candidate-specific information in the Candidate Profile. Collect job-specific information in the Candidate Application.

Candidate Search

The Candidate Search feature enables a user to search through the candidate profile database. Companies may choose to provide Candidate Search access to any user in the SAP SuccessFactors HCM Suite. Users who do not have Candidate Search permissions will not have access to the Candidate Search tool.

The Candidate Search feature searches candidate profile information, not candidate application information, or pre-screening question responses. Recruiting users can search directly for a specific candidate using the candidate’s name or choose to put together a complex search using multiple criteria.

Quick Facts

  • Candidates search only searches through Candidate Profile and resume data. Additional information such as application data, pre-screening question responses, and interview content is not searchable.
  • Depending on data privacy consent statement (DPCS) settings, internal candidates may not be returned in the candidate search until they accept the data privacy statement from the Careers tab.
  • Functionality supports accent characters in English or using an English keyboard. Familiar accent characters in other languages are mapped to English-language characters so that user can search for candidates without adding accents to their name.
  • Fields synced from the Employee Profile are not searchable unless they are appropriately permissioned in the back end of the system.
  • Candidate Search results pagination supports displaying 10, 20, 50 or 100 candidates per page.
  • Candidates are added to the search index based on DPCS settings and Candidate Privacy Options (cross border settings).
    • No DPCS & DPCS1.0: Internal candidate is searchable. The candidate is created on the fly while searching based on the visibility options.
    • DPCS2.0: Internal candidates who have not accepted DPCS 2.0 are not searchable. The system prompts the candidate to accept DPCS 2.0 whenever they click My Candidate Profile or apply for a job. The system prompts external candidates to accept DPCS 2.0 when they log in.
    • Expected functionality includes a "How do I use this?" link that contains instructional help text for the user.

Candidate Profile Synchronization with Employee Profile

Information that is available on the Employee Profile can be synchronized with information on the Candidate Profile for internal employees. Once the synchronization is enabled, the information will sync both ways in real-time.

If a field in the Candidate Profile is synchronized with a field on the Employee Profile, the permission for this field is the same as defined in the Employee Profile. For example, if employees have the ability to edit the address field, they will be able to edit that field on the Candidate Profile as well.

Mapping between Candidate Profile and Employee Profile can be done in Candidate Profile Template. This can be accessed either through Admin Center or through Provisioning.

Candidate Profile Synchronization with Application

Similar to the data sync with the Employee Profile, Candidate Profile data can also sync with the Candidate Application. If a field defined on the Profile is also defined on the application, the field will pre-populate once the candidate proceeds to the application.

Changes to the Candidate Profile do not affect existing applications. For example, if candidates move and change their street address, the original street address on the application stays the same because an application is a 'point-in-time' reference.

The documents uploaded in the Candidate Profile can be made available and synchronized in the application. Documents added or deleted in the application can be synchronized with the Candidate Profile.

Settings need to be completed in the back end of the system; therefore, contact your consultant or customer support to enable the synchronization.

Profile Before Application Feature

The Profile Before Application feature allows you to make the Candidate Profile the first step in the apply process, prior to the candidate filling out the application.

The candidate stops by the profile each time before completing an application, but they only need to enter the required data once. On each subsequent visit to the profile, the candidate only needs to verify that the data is correct and complete.

Benefits of using the Profile Before Application feature include the following:

  • Data completed on the profile automatically synchronizes with the application if the same fields are used.

Candidate Profile Field Permissions

It is possible to grant permissions for each field in the profile. Fields can be hidden or permissions to read or write the field can be assigned for candidates and recruiting admin users. You may specify whether only a candidate can write to specific fields or whether defined recruiting users can also write to the field. This might be useful if a recruiter wants to update information on the candidate profile during the interview process for candidates who did not provide necessary details while completing the profile. Permissions can be defined based on the type of candidate (internal vs external) and based on the country of the candidate.

Note

If the field in the Candidate Profile is synchronized with the field on the Employee Profile, permissions for this field are the same as in the Employee Profile. For example, if the employees have write permissions to the address field within the Employee Profile, they will also be able to edit that field within the Candidate Profile.
