Creating and Editing Segments

Objective

After completing this lesson, you will be able to use the WalkMe Editor to create and edit Segmentation Tags.

Creating Segmentation Tags

Let's create segmentation tags in the WalkMe Editor.

Step 1: Click the Manage Segments Icon

To begin, click the Manage Segments target icon.

Please Note: We can create as many Segments as we'd like and assign as many WalkMe items to those Segments as needed.

The image shows the screenshot of a dashboard with impersonation settings and Manage segments option highlighted.
Step 2: Click Create Segment

In the Segmentation menu, select Create Segment to open the Condition Builder.

The image shows the screenshot of segment management interface with Create segment option highlighted.
Step 3: Name the Segmentation Tag

Name the Segmentation Tag for ease of use and clearly define its conditions. Once ready, select Done.

Please Note: Segmentation conditions can have any type of rule; however, it is recommended to use variables for user identification as variables tend to be seen on every page of the platform.

The image shows the screenshot of the creation of a segment for the Customer Success Team, based on the user role condition.
Step 4: Apply the Segmentation to Content

Now that our Segmentation Tag has been defined, we can apply it to our WalkMe content by selecting Add Item. This will allow us to apply this new Segmentation condition to any piece of content we choose.

Please Note: At any point, we can remove and apply Segmentation Tags to any piece of WalkMe content.

Now that we're more familiar with Segmentation, let's look at how we can apply and adjust it to our WalkMe content.

Applying and Adjusting Segments

Segments can be created in the Manage Segments menu, and afterwards relevant WalkMe items can be added to that Segment.

Watch the video to understand how to apply and adjust Segments.

Key Takeaways

There is no limit to the amount of conditions that can be used to define a Segment; however, we recommend not exceeding two rule types.

Selecting the Assign Segments option on a highlighted WalkMe item will allow us to select the Segments we want to assign.

The name and color of a Segment can be changed by clicking the pencil icon within the Manage Segments menu. We can also edit a Segment's condition at any time. WalkMe items can also be removed from a Segment by hovering over the item and unchecking the box.

Applying and Adjusting Segments

Segmentation Management Menu

When creating Segments, try to create them with conditions that multiple WalkMe items are likely to meet.

  1. Click the target icon to the right of the search bar in the WalkMe Editor

  2. Click Create Segment

  3. Apply the necessary conditions

  4. Click Done

The figure shows the segmentation management menu.

The image shows a screenshot of a segment management interface displaying the target icon to the right of the search bar to create segments.

Quick Segmentation

This method is useful when we want to quickly add Segmentation to a single piece of content.

  1. Click the small empty square or colorful square (if Segmentation has already been applied) to the right of the deployable name in the Editor

  2. Select the checkboxes for all the Segments we want to apply to the deployable

  3. Click Done

The figure shows how to quickly add segments in the segmentation management menu.

The image shows a screenshot of a segment management interface showing a segment assignment panel and the small empty square is highlighted on the right of the deployable name in the Editor .

Note

If attaching more than one Segmentation Tag to a piece of content, these conditions will act as OR conditions - not AND.

This means that the attached piece of content will look at both Segmentation Tag conditions and determine if the first tag is correct OR the second tag is correct. If either are correct, the content will display.

Editing Segmentation

We may find that after creating our Segments, we may need to make some adjustments to the conditions.

  1. Click the target icon to the right of the search bar in the Editor

  2. Click the pencil icon to the right of the Segment we wish to edit

  3. Click Done

The figure shows how to edit segments in the segmentation management menu.

The image shows a screenshot of a segment management interface showing the Manage segments section and the edit button highlighted.

Removing Segmentation

This method is useful when we want to quickly remove Segmentation from a single piece of content.

  1. Click the small empty square or colorful square (if Segmentation has already been applied) to the right of the deployable name in the Editor

  2. Uncheck all the Segments you want to remove from the deployable

  3. Click Done

The figure shows how to quickly remove segments from a single piece of content in the segmentation management menu.

The image shows a screenshot of a segment management interface with a segment assignment panel and Automation Test segment is selected.

Note

You must republish WalkMe Settings to the desired environment to push through any changes made to the Segment conditions or to assign or remove a Segment from an item.

Segmentation Evaluation

When a WalkMe application has both individual rules and Segmentation applied, we must understand how conditions evaluate in WalkMe.

WalkMe will first check that the Segment condition is true. If the Segment condition is false, the WalkMe application will not display even if its Display Condition is true.

For the WalkMe application to appear, both the Segment and Display Condition must be true.

This flow chart shows the order in which WalkMe checks Segmentation conditions.

The image shows a flowchart illustrating segmentation and display conditions, with paths for true and false outcomes leading to showing or not showing elements like SmartTips and Widgets.

Great Job! Now that we understand how to apply and adjust our Segments, let's look to some ongoing resources we can reference.

Summary

Segmentation
  • Segmentation allows us to decide when to display our WalkMe content to our users. We can push items to specific users, or remove items from a user's view according to the Segmentation conditions we define.

  • Segmentation conditions can be created with any of the available conditions from the Condition Builder. For example, we can create a Segment to organize and filter our WalkMe items by Variable, Date, Element On-Screen, or even by Current URL.
