Introducing the Publishing Process

Publishing allows us to push the items that we create in the WalkMe Editor to our different Environments.

How to Publish

Before you Publish, check in with the Project Lead or WalkMe contact that WalkMe is deployed (Snippet or Extension) otherwise, WalkMe content that we've built will not appear in our Environment. Learn more about Deployment Methods here.

Publishing WalkMe Items

If we are ready to Publish, follow the steps below:

  1. Select the specific items we wish to Publish.
  2. Click the Publish button.
  3. Select the Environment we wish to Publish too.
  4. Select if we would like to Publish Global Settings.
  5. Click the Publish to Environment button.
  6. We will see a progress bar and will be prompted with a success message once the item(s) has been Published.

Note

When attempting to view your Published content, be sure to close your Editor and refresh your page.

Publishing Environments

Selecting the Right Environment for Publishing

Out of box, we have the option to Publish to either Test or Production.

When we Publish an item to the Test Environment, those Published items are only available to users that have the Test Snippet running in their browsers.

Note

The Snippet is different for Test and Production. This ensures the wrong content is never shown in the wrong Environment.

Publish Status Icons

Each item has a different icon color that denotes its current Publish status. These statuses change when switching between different Environments as some items may be Published in one Environment, while not yet Published in another.

Publishing WalkMe Settings

To Publish changes to the settings, follow the steps below:

  • Click the Settings icon in the WalkMe Editor

    .
  • In the drop down choose System Settings

    .
  • Click Publish Settings

    .
  • Select the desired Environment

    .
  • Click Publish To ‘Selected Environment’ .

Note

It is not possible to only Publish different settings individually.

Now that we're familiar with the Publishing process, we'll look at Archiving & Deleting.

Archiving and Deleting

Archiving WalkMe Items

To unpublish a WalkMe Item from an environment, we must Archive it. Archiving a WalkMe item does not delete the item, it simply removes it from the previously Published Environment.

Then, it will no longer be available to users. We can still edit content in our WalkMe Editor or make changes if we want to re-publish later on.

How to Archive:

  • Select all items you wish to Archive.

  • Click the icon with 3 dots in the bottom right of the WalkMe Editor.

  • Click Archive.

Confirming your Archive

Once the Archive button is clicked, that is when WalkMe completes the unpublish action. We will see a progress bar and will be prompted with a success message once the item has been Archived.

Deleting WalkMe Items

Deleting WalkMe Items

Deleting WalkMe items is similar to Archiving, but this will completely remove WalkMe items from the WalkMe Editor. We will no longer have access to this content anywhere.

How to Delete:

  • Select the item(s) to be Deleted.

  • Click the icon with 3 dots in the bottom right of the WalkMe Editor.

  • Click Delete.

Once the Delete button is clicked, we will be prompted with a progress and confirmation dialog.

Note

  • Content in Folders must be deleted individually and does not support deleting all content inside of the folder.
  • Data captured on Archived or Deleted content is still readable via WalkMe Analytics for up to one year.

Summary

Previewing and Publishing Content
  • Environments are basically different versions of a website where development teams can explore, iterate, and maintain new features and functions before launching to the main platform. We primarily use two Environments: Test for exploring features and functionalities before launching to end users and Production to showcase and launch new features and functionalities to live end users.
  • Previewing allows us to view WalkMe content from the perspective of a real user. There are multiple Preview options allow us to view WalkMe content quickly; however, Quick Preview is the most common and quickest way to simulate WalkMe content.
  • Publishing allows us to push items that we create in the WalkMe Editor to our different Environments.
  • To remove a WalkMe item from an Environment, we must Archive it. Archiving a WalkMe item removes it from the platform so it is no longer available to users.
