Organizing Menus

Objective

After completing this lesson, you will be able to add and organize content to the Menu.

Menu Organizer Overview

What is it?

The Menu Organizer is where we go to organize how our content will appear in the WalkMe Menu to our end users.

Generally, before we publish content, we'll want to use the Menu Organizer to put items in the user facing Menu.

Why is it important?

The Menu is the central hub for all of our Smart Walk-Thrus, Resources, Shuttles, and Onboarding Tasks so users can get the help they need when they want it.

How do I access it?

The Menu Organizer is one of many features that lives in the WalkMe Console. We'll learn more about the other features within the Console in other courses.

In the Editor, click the Apps icon (4 squares) at the top. Then, select Menu Organizer. This will open the Menu Organizer in your web browser.

Add Content to the Menu Organizer

The Menu Organizer consists of two main panels: Items List (left side) & End User Experience View (right side).

We'll cover the two different sides of the panel in detail along with the different features and functionality of each.

Left Side Panel (Items List)

The left side panel contains all the items we’ve created in the Editor that can be added to the Menu. All new items created in the Editor that can be added to the Menu automatically appear here.

Here is the table to learn more about each component of the left side panel (items list):

Search icon

Looking for a specific item? Use the Search to filter down the list in real-time as you type.

Any folder or WalkMe item that contains your search terms will show up.

Filters icon

Items - Filter by Type of content, such as Smart Walk-Thru, Shuttle, Article, or Video.

Status - Filter by publish statuses: Published, Published & Modified, Archived, or Draft.

Segments - Filter by Segments that have already been created (i.e., Sales, Customer Success, Engineering, Marketing, etc.).

Refresh icon

Items in the Editor not appearing?

You may need to refresh the items list, especially if you just added something new while the Menu Organizer was open.

Return to Editor icon

Clicking this icon will return you to the Editor, and the Menu Organizer console will close out.

Segment Icons

If any Segments are applied to a piece of content, a segment icon will appear in the item's row.

Right Side Panel (End User View)

On the right is a list of items that will appear in the Menu for end users once the items have been published. This is what shows up in the end user experience.

Here is the table to learn more about each component of the right side panel (end user view):

1. Menu Columns

Name - The name of your WalkMe item or Folder that you have created to organize your content

Segments - Shows what Segments (if any) are applied to each item

View As - Clicking on this will allow you to select a Segment and view what WalkMe items are attached to the Segment and see how the Menu will appear to that type of end user

2. Menu Tabs

Help - This contains Smart Walk-Thrus, Resources, and Shuttles.

Tasks - If you have Onboarding Tasks, they will be in a separate Tasks tab.

Plus (+) - This will allow you to add an additional Help tab.

Note

By default you have 2 tabs, Help and Tasks. You can rename these tabs by double-clicking and typing in your desired name.

The Help tab is open by default when users first open the Menu.

3. Action Items

Search - Search for any WalkMe item or Folder by name.

Folder - Create a New Folder/Category to further organize your WalkMe Items.

4. Remove Item

To remove an item from the Menu, simply hover over it and click the remove item icon (circle with minus symbol) on the right.

This removes the item from the Menu but does not delete it from your Editor.

5. Menu Actions

Undo/Redo Arrows- Undo or redo your last action

Discard- If you don't want to Save any changes you've made to the Menu, you can discard them. This includes any items dragged over from the Left side panel, any WalkMe items moved up or down, and any items moved into Categories in the Right side panel.

Save - Save the changes you've made.

Publish - Publish your changes. While you might have Saved and made changes, this doesn't take effect until you Publish for your end users to see!

6. Environment DropdownYou can use the environment dropdown in the top right to change the environment and see the publish status of your items for each environment (discussed below).

Note

When adding the 3rd tab, it can only be a Help menu and NOT an additional Onboarding Task list.

Publish Status Icons

In the Menu Organizer, the circle icon to the left of the content name will appear orange until it is published, and then will turn green once published.

Moving Items into the Menu Organizer

In order to move items from the Editor into the Menu, simply drag and drop the item from the left to right.

To change the order that items appear in the Menu, click and drag them up or down to move items to the desired spot or into a category in the right side panel. Items at the top of the Menu are usually clicked more often, so it’s important to consider item order.

Adding Multiple Items

If we'd like to add multiple items to the Menu at once, this can be done as well! Follow these steps:

  1. Select the checkbox to the left of each item you want to add.

  2. Click + Add to Menu at the top.

  3. Select where these should be placed in the Menu.

  4. Click Add.

Exercise: Use the Menu Organizer

Below is a software simulation that will guide you through how to add items to the Menu. The simulation will replicate what you will experience when you build in your own Editor or the Console.

Entry Points & Menu
  • Incorporating Entry Points ensures our end users are able to access WalkMe content.

  • In the end user experience, the Widget opens the Menu.

  • Head to the Menu Organizer (in the Console) to set up which items show up in the Menu for end users.
