Creating and Managing Resources

Creating Resource Types

When customizing SAP Sports One, the creation of resource types is the first step in setting up the infrastructure of the system. This crucial step lays the foundation for resource management in SAP Sports One, which is used later in the training management process.

Resource types are used to define different types of resources in SAP Sports One. Defining resource types ensures that all resources can be categorized according to their specific characteristics and uses. Resource types are generic terms at the highest level such as training grounds or meeting rooms, not the individual resources such as training fields or specific rooms with names or numbers. The individual resources are maintained in detail later.

In SAP Sports One, resources are divided into club resources, personal resources, and locations:

  • Club resources are not personally assignable as they are club property for multiple users.
  • Personal resources are personally assignable.
  • Locations are physical resources that are not bookable.

Note

To be able to create and manage the resource types you need the role of administrator and the corresponding permission on Club Resources and Person Resources at Resources.

If you have the required permissions, you are able to create new resource types in SAP Sports One at Resource Type in the catalog. Add a description for the resource type and mark them as a club resource or a personal resource. You are also able to decide, if the resource is a location. If you set a resource as a location, the location field is automatically filled in when you create an appointment and select the resource.

As soon as you navigate to the newly created resource type, you will have the option to edit and delete the resource type, create hierarchies for it, and manage additional information. These additions were used for all resources that belong to the created resource type. Decide individually which fields should be filled in for the respective resource type. Think about the different information you need for club resources (for example, a vehicle or a meeting room) or a personal resource (for example, a laptop).

Hint

If you choose one of the three identities (Equipment No., Serial No., or Identity No.) you are later able to create unique assignments for your resources.

As a best practice, we suggest the following configurations for resource types in SAP Sports One.

Creation of Resources

After you have created all resource types in the first configuration phase, you can start to manage the specific club and personal resources in SAP Sports One. These resources will be used in a later step for planning training sessions. The creation of all resources creates the basis to enable a fully comprehensive resource planning that covers, among other things, location planning as well as the availability of all resources. This can simplify the training planning process, which is a great advantage for training management and fulfillment of clubs' visions.

If you have the required authorizations mentioned before, you are now able to create new resources in SAP Sports One at Resources in the club section.

When creating a club resource, you will see that you can add any additional information that was previously created for that resource type. Moreover, you can mark the resource as "exclusive", which means the resource is only available and bookable once.

Hint

You can put the age group of the team or some other important information in brackets. Subsequently, when you create an appointment, this information appears when selecting the resource in the calendar, making it easier for you to distinguish.

Depending on the previously selected resource type fields, this additional information about the resource can also be added when creating a personal resource. You can also manage the assignment of the personal resource. For each resource, you can add to whom the resource is assigned, from which date the resource is booked, and to which date the resource is booked. You can assign the resources to any team members and other club contacts.

By navigating to the club resource and personal resource, you can edit and delete the resource. Moreover, you can edit the availability of the resource. Examples of restricted days could be that a meeting room is temporarily not usable or a bus is not available due to inspection. Maintaining these availabilities prevents you from booking a resource even though it is not available.
